CMG is Richmond’s nonprofit community conflict resolution center offering affordable mediation services in addition to classes that teach mediation and conflict management skills. The Intake Specialist is responsible for administrative tasks related to CMG mediation programs. The primary duties are to be the initial point of contact for those we serve and to schedule mediation sessions. This is a full time position (35-40 hours/week) and starts at $11.50-12/hour, depending on experience, with a 60 day review.


  • Data entry and database management.

  • Creating a hospitable environment, greeting clients and guests, and managing the sign-in process.

  • Answering and directing a high volume of phone calls.

  • Contacting and screening parties referred to mediation and answering questions they have about the mediation process.

  • Coordinating multiple schedules in order to schedule mediation appointments.

  • Documenting all communications with mediation clients in our database.

  • Completing appointment confirmations and reminders by phone and email.

  • Preparing other correspondence and mailings.

  • Preparing invoices.

  • Registering people for CMG classes.

  • Other tasks as assigned by the Director of Operations.


  • Minimum 2 years of professional experience in customer service, phone work, scheduling, and data entry.

  • Familiarity with the court system and/or mediation is strongly preferred.

  • High level of professionalism and strong sense of ethics.

  • Passion for serving the community and a demonstrated interest in non-profit work.

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills, and the ability to effectively communicate with clients who are experiencing conflict while maintaining neutrality and confidentiality.

  • Ability to quickly re-focus when moving between tasks and to work efficiently and accurately despite frequent interruptions.

  • Ability to work well both independently and in a cooperative team environment.

  • Punctual and dependable.

  • Detail-oriented and organized.

  • Ability to problem solve and think critically.

  • Ability to manage multiple priorities and anticipate necessary next steps.

  • Strong computer skills with proficiency in Microsoft Office Suite. Experience with Office 365 is strongly preferred.

  • Proficiency in Spanish strongly preferred.
